AI-powered candidate communication

Learn how Max handles routine candidate communication and equip Max to do it well

To accelerate your hiring, Tezi’s AI Max autonomously manages candidate communication. This includes automatically responding to candidate emails, answering candidate questions over email and in the chat screen, as well as advancing candidates when appropriate. For complex interactions, Max loops you in to guide its messaging.

🔒

Tezi never receives emails sent to you, and outside of sourcing outreach, Tezi never emails candidates on your behalf. Emails from Max are signed “Max, AI recruiter for [company]” and sent from Max’s email address (max.[company]@hey.tezi.app or max.tezi@hey.[company].com). For sourcing outreach, Tezi sends initial and follow-up emails (prior to candidate response) on your behalf for Lite users, and on behalf of you or your team members when configured for Starter, Business, and Pro users.

How Tezi manages candidate communication

Max manages communication in the following ways:

1️⃣ Processes emails and takes next steps, including sending responses: Max receives candidate replies to Tezi’s sourcing outreach and emails sent directly to Max, and it intelligently processes these emails to identify and execute next steps. For example:

  • When a sourced candidate replies, Max determines whether the candidate is interested, disinterested, or has asked a question. It moves interested candidates to the next step, thanks and archives disinterested candidates, and answers any questions (see below).
  • When a candidate invited to interview provides availability, Max confirms that it received their availability and schedules the candidate.
  • When a candidate asks to reschedule an interview, Max emails to coordinate rescheduling.

If our system cannot automatically determine the appropriate response, Max reaches out to you for help.

2️⃣ Answers candidate questions: Max answers candidate questions about your role over email and in the chat screen, based on the hiring context that you provide. If it does not know the answer, it may suggest that the candidate ask the hiring team later in the process, or it may escalate the question to you (see below).

3️⃣ Communicates next steps: In addition to responding to candidate emails, Max also emails candidates to coordinate next steps based on your role configuration and instructions — inviting candidates to the chat screen, scheduling interviews, or sending rejection notices when appropriate.

Equip Max with hiring context

To ensure Max answers candidate questions accurately and consistently, provide Max with key information about your role and company. On your role setup page:

1️⃣ Provide role context

Select Role context and provide any role‑specific information that candidates frequently ask about. You can use Tezi’s suggested topics, like work location or example projects, or write your own content.

2️⃣ 💼 Starter, Pro, Business, and Enterprise only: Provide or edit company context

Select Company context and add the company information that candidates ask about most. Similar to role context, you can follow Tezi’s prompts or add custom content.

Because this section is shared across all roles, include only company‑level information. Note that anyone at your organization can edit company context.

👉

Max uses only role and company context for candidate Q&A, and it does not draw from other parts of role setup. This enables you to easily control what Max says. To have Max reference details from the JD, interview plan, or other parts of role setup, copy them into role or company context.

On an ongoing basis, when you spot questions Max can’t answer, add the information to your hiring context so Max can handle them in the future and save you time.

FAQ

For role or company context, can I upload a PDF? Can Tezi scrape a webpage?

Tezi does not support uploading PDFs or scraping webpages for hiring context. Content needs to be provided as plain text in role or company context.

While Tezi can’t scrape webpages, you can include links for Max to share with candidates (e.g., “Read more about the company’s recent milestones at this link: [URL]”). Copy any key details from the links into the context fields if you want Max to be able to directly reference the information.
